Medical Secretary

Our client, a medical centre based in the Bexley area, are seeking to recruit a Part Time Medical Secretary to join their busy team.

Part-time: 3 days per week, 8:00am – 4:00pm

Wednesday is a fixed working day. The remaining two working days can be discussed and agreed with the successful candidate.

Job Summary

The successful candidate will provide high-quality administrative and secretarial support to clinicians and the wider practice team, ensuring that referrals, correspondence and patient queries are managed accurately and efficiently.

The ideal candidate will have previous experience working within a healthcare environment, preferably primary care, and be confident using EMIS, Docman, e-RS (Electronic Referral Service) and Lexacom.

 

Key Responsibilities

  • Provide comprehensive medical secretarial and administrative support to GPs and other clinical staff.
  • Use EMIS Web confidently to access and update patient records, manage tasks and process clinical correspondence.
  • Use Docman to manage and action incoming tasks
  • Manage the practice’s e-RS workload, including:
  • Monitoring and processing referrals.
  • Managing referral rejections and ensuring appropriate action is taken.
  • Reviewing and responding to Advice & Guidance (A&G)
  • Ensuring referrals and related correspondence are actioned within appropriate timescales.
    • Liaising with clinicians and external services regarding referral queries where required.
  • Use Lexacom to accurately type and format dictated letters, correspondence and clinical documents.
  • Prepare and process referral letters and other clinical correspondence as requested by clinicians.
  • Ensure all correspondence is accurately recorded and appropriately filed within the patient’s medical record.
  • Take and manage incoming telephone calls from patients, hospitals, community services and other healthcare professionals.
  • Deal with telephone enquiries professionally and sensitively, directing calls to the appropriate member of staff where necessary.
  • Maintain patient confidentiality and comply with GDPR, practice policies and NHS information governance requirements.
  • Communicate effectively with patients, clinicians, hospitals and other healthcare organisations.
  • Prioritise workload effectively and ensure urgent or time-sensitive tasks are escalated appropriately.
  • Work as part of the wider administrative and clinical team to ensure the smooth running of the practice.

 

Essential Skills and Experience

  • Previous experience in a medical secretary or healthcare administration role.
  • Experience working within a GP practice or NHS environment is desirable.
  • Good working knowledge of EMIS Web, Docman and e-RS.
  • Experience using Lexacom or a similar medical transcription system.
  • Experience typing medical dictations accurately and efficiently.
  • Good understanding of the NHS referral process, including referral rejections and Advice & Guidance (A&G).
  • Excellent written and verbal communication skills.
  • Strong IT and keyboard skills with good attention to detail.
  • Ability to manage a busy workload and prioritise competing demands.
  • Professional and friendly telephone manner.
  • High level of accuracy and attention to confidentiality.
